When you use EnCloud AI Agents, we may collect the following information:

• Identity information: Name, email address, and Microsoft account details provided during authentication via Microsoft Entra ID.
• Usage data: Conversations and interactions with our AI agents (Leave Management, IT Support, HR, Ticket Management, Induction).
• Organizational data: Company name, department, and role as provided through your Microsoft 365 account.
• Leave and HR data: Leave requests, leave balances, and related HR information entered into the Leave Management Agent.
• IT data: Support tickets, asset information, and IT requests submitted through the IT and Ticket Management agents.

2. How We Use Your Information

We use the collected information to:

• Operate and provide the EnCloud AI Agents services.
• Process leave requests, IT tickets, and HR queries on your behalf.
• Authenticate users securely via Microsoft Entra ID.
• Improve agent performance and accuracy.
• Provide customer support when requested.
• Comply with legal obligations.

3. Data Storage and Security

• All data is stored in Microsoft Dataverse and Microsoft Azure, hosted in secure Microsoft data centers.
• Data is encrypted at rest and in transit using industry-standard TLS 1.2+ encryption.
• Access is controlled through Microsoft Entra ID role-based access control.
• We do not sell or share your personal data with third parties for marketing purposes.
• Data is stored within your organization's Microsoft 365 tenant unless otherwise specified.

4. Data Sharing

We do not sell your personal data. We may share data only in these situations:

• Microsoft services: Our agents run on Microsoft Copilot Studio and Power Automate. Microsoft's privacy policies apply to these services.
• Your organization: HR and IT data may be shared with authorized administrators within your organization.
• Legal requirements: We may disclose data if required by law or to protect our legal rights.

5. Data Retention

• Conversation data is retained for 90 days by default.
• HR and leave records are retained for the duration of your employment or subscription, as per your organization's policy.
• You may request deletion of your data at any time by contacting us.

6. Your Rights

You have the right to:

• Access: Request a copy of the data we hold about you.
• Correction: Request correction of inaccurate data.
• Deletion: Request deletion of your personal data.
• Portability: Request your data in a portable format.
• Objection: Object to processing of your data.

7. Cookies

Our landing page uses sessionStorage (browser session storage) only to maintain your login session. We do not use tracking cookies or third-party advertising cookies.

EnCloud AI Agents is designed for enterprise use and is not intended for children under 18. We do not knowingly collect data from minors.
